The Audit ScoreCard is an offline excel file which allow users to review regulatory requirements in a checklist manner to perform an audit of a facility. Each ScoreCard includes detailed requirements, guidance to further explain each requirement, applicability screening questions, a list of essential documents, and hyperlinks to related citations.
The ScoreCard is composed of:
- User Instructions,
- "Summary" Sheet, which automatically summarizes the audit findings,
- 2 Screening Sheets
- 10 Thematic Compliance Sheets (corresponding to the 10 modules of the Audit Protocol),
- A Sheet listing EHS legislation with hyperlinks to the texts,
- A printable "Audit Finding" Sheet with all findings listed,
- "Related Documents" Sheet, which contains all of the documentation needed to complete the audit
- “Heading Guidance” Sheet, which explains the types of issues that are covered under each thematic heading
The sheets are visible at the bottom of the ScoreCard, and you can navigate between them by clicking on the sheet you wish to access. Each thematic compliance sheet provides a number of compliance questions (Requirements) covering the main EHS regulatory requirements. The questions are grouped into thematic sections.
Please use the workflow below as a recommended process while assessing your facility:
Step 1. Perform Audit Scope and Applicability Screening to ScoreCard.
To begin your self-assessment, Enhesa recommends starting with the 2 layers of screening. These screening sheets are designed to help filter out large amounts of requirements and regulations based on general assumptions of the facility’s operations.
Click on the Audit Scope Screening Sheet (1 in example below) and review the questions by thematic heading, answering 'Yes' and 'No' to as many as possible. When finished click the “Audit Scope” function within the ScoreCard ribbon (1 in example). The excel file will then notate which requirements are no longer applicable to you.
Next move to the Applicability Screening Sheet (2 in example) and review questions in the same fashion. Because the Applicability Screening questions are specific to the jurisdiction of the scorecard, Enhesa provides further guidance to answer the question under “Guide Notes”. When you have completed the Applicability Screening sheet, click the “Applicability” function within the ScoreCard ribbon (2 in example).
Step 2. Review Your Requirements
The ScoreCard breaks down the requirements into pages by thematic heading. Please review all of your requirements within these pages to complete a full self-assessment. Enhesa provides the requirement [1], Guide Notes [2], and the direct text [3] to ensure you have all resources available. If there is a document related to the requirement, Enhesa will provide this as well [4]. When ready, answer 'Yes' (in compliance), 'No' (not compliance) or 'NA' (not applicable) [5].
Step 3. Measure Risk Factor, Action Item (Optional)
For requirements that your find yourself not in compliance (or at risk of becoming so), Enhesa provides optional analyses to measure your risk, action steps, and systems factor. These notes are an optional field with the goal of providing an analysis for the clients so that they can better understand and prioritize their non-compliant findings and action status. Please see section “Compliance Assessment – Risk Factor” to review our methodology further.
Step 4. Review Legal Register
After completing your self-assessment, please go to the List of Regs page to review the regulations of the jurisdiction of the ScoreCard. The page will consist of the title of the regulation and a link to the direct text. To filter the list of regulations to include only those related to the facility in question, please click the “Legislation” function at the top of the ScoreCard. This will produce a red X next to regulations that have been screened out based on your applicability answers. The read further, please see List of Regulations.
Step 5. Review Findings within Findings Tab
You are able to compile a list of your findings of noncompliance by using the “Findings” page [1] within the Audit ScoreCard. This is page will provide a full list of all requirements from each thematic page that you have marked as 'No' and will include your comments, notes and analyses (if provided). To populate the page, please click the “Findings” function in the ScoreCard Ribbon.
Step 6. Upload ScoreCard to Corporate Dashboard (Optional)
To Upload your scorecard to the Corporate Dashboard, please email services@enhesa.com with this scorecard and indicate to which facility it is related.
You are also able to upload the ScoreCard compliance data to your company’s Corporate Dashboard on your own. Please click the “Compliance Export” function to produce an upload ready CSV file. This function will request to save a new file. Once the file has been saved, go to www.ehsmonitor.com and navigate to the Corporate Dashboard. On the bottom of the page, click ‘Upload ScoreCard”. Choose the desired file to upload and indicate the facility to which it should be uploaded. The Enhesa system will provide an upload log when completed.
